Wedding and Events Terms and Conditions

 

Upon booking you are agreeing to the value of your quote and the Terms and Conditions below. Any increase in order will be subject to the same Terms.

The prices given in any quotation are subject to change should you wish to change the style, floral materials or scale of any designs.

A non-refundable £150 booking fee for bespoke weddings is required to secure the date and confirms the services to be provided.

The fee is payable to the bank account below. You will be sent a confirmation once this has been paid. Balance is payable one month prior to the event and can be made by cash, card or bank transfer to Barclays.

Your flowers are pre-ordered up to one month before your wedding day, as such you have up until one month prior to the wedding to make any changes known. Changes that are required after this may be subject to additional fees and may not be possible depending on the scale of change.

Due to the living nature of fresh flowers and foliage, there may be occasions where particular varieties are not available or readily sourced. We will always try our absolute best to obtain the desired products, sometimes it is just not possible to source particular varieties. All fresh flowers and foliage are subject to availability and high-quality assessment before being used within your wedding flowers. If a particular flower is unavailable, we reserve the right to use similar flowers of the same quality and value.

Southwold Flower Company cannot be held responsible for non delivery in extreme weather or acts beyond our control.
It is the responsibility of the individual in receipt of this quote - the client - to ensure that all products lent by or from us are returned in the same condition as when they were delivered. Damage includes, but is not limited to, breakages, cracks, stains or burns. The client will be responsible for covering the cost of any repairs or replacements.

Balances due must be paid at least one month before your Wedding Day.

Any goods received which are found to be unsatisfactory must be reported within 24 hrs of receipt for a free replacement in the first instance. This does not apply to fresh flowers where replacements will be sent at our discretion

Cancellation Charges
From booking until six months prior to event = loss of booking fee.

3-6 months prior to event = 50% of balance and full booking fee.
1-3 months = 75% of balance and full booking fee. Up to 1 month = 100% of total.

Wedding packages ordered via our web shop will be refunded at a rate of 90% of total value up to one week prior to event. Any cancellations after this are non-refundable.

Cancellation Insurance

We strongly recommend  you seek wedding cancellation insurance from a reputable provider in order to cover any loss of deposit or incurred cancellation fees.
Venue flower arrangements will not be collected by us unless otherwise agreed. We reserve the right to make a charge if there is a significant change to the agreed distance.

COVID 19

Due to the effects of the global pandemic on growers and supply chains we cannot guarantee that there will not be a price rise from that quoted to you. We will endeavour to lessen the impact of any price fluctuation by only charging what is necessary and never profiteering. If you need to move your date, there will be no charge for this.

If you cancel due to Government Covid Guidelines we will follow the guidelines set down by the CMA for refunds. If your cancellation is due to Covid but not because of Government Guidelines, then our original terms and conditions will stand.

Delivery and collection mileage is 50p/mile.

We reserve the right to photograph and reproduce pictures of our work for marketing purposes. If you do not want us to use your pictures, please let us know at time of booking.

Any photographs you send to us may be used for marketing purposes unless forbidden by you prior to receipt, we will always credit the photographer where known.

In line with the new GDPR regulations (May 2018) all personal details in regard to your wedding order are held in hard copy and kept in a locked office, electronically held copies are password-protected and appropriate software is installed to combat malicious software. On completion of your wedding all personal details are shredded. However financial records of payments made will be held for tax purposes but any account information will not be retained.

No personal data held by The Southwold Flower Company will be shared with any third party and no data will be sold.

Booking fee (£150) payment is deemed acceptance of our Terms.
